It is with great pleasure that I would like to endorse the work done by Smartbox Systems for Our Lady of the Pines. We investigated other archive systems but soon came to the conclusion that we would need to employ someone full time to carry out scanning on behalf of the school.
Our Smartbox system was installed in a day, it has saved us a great deal of storage space, and the conversion that we contracted Smartbox to do for us was completed in just three days. If we had tried to do this ourselves I think we would still be doing the conversion today.
The software that makes the system effective is easy to use and backup or queries are just a phone call away. For us, Smartbox has been an investment in our future and after just 6 months of operation archiving is no longer a headache. The retrieval of materials is fast and effective and the process for archiving new materials is simple.
I would recommend Smartbox to any Primary School looking for a smart solution.

Since we had the storage system installed in late 2004, it has proved its worth on many occasions. It is very compact and tidy, no more mounds of document boxes to plough through when looking for a missing document. The computerised database makes life so much easier and you can find what you are looking for in minutes.
I also find the staff at Smart Box are very approachable and ready to help with queries. I recently telephoned with a query and, on finding out that my version was an earlier version, they came to the school virtually the same day and updated my system.

Dear Sam,
Our school was in desperate need of a system to better manage our archives. As we are two schools in one with the hub-annex arrangement with Perseverance Primary School we have twice as much to store.
We tried several systems of organizing our archived materials and it was far from satisfactory.
Your company has far exceeded our expectations. Your staff were courteous, prompt and diligent in the undertaking of what was a formidable task. They sorted, disposed of, organized and archived everything that we had stored in three sites in a haphazard range of boxes and folders.
The system itself is cost effective and the end result is that we have a system that we can readily access with confidence, if we need to find archived files. An example was the need to find a particular file that dated back 10 years. We accessed the user friendly data base, found the appropriate file No and located the file in less than five minutes. Previously we could not have guaranteed being able to find the file at all.
We recommend this system and your company as being a sensible choice in archiving for any school.

Dromana Secondary College installed Smart Box Systems in May 2005. Our archiving system was antiquated and a nightmare with bulging archive boxes piled on top of each other with absolutely no system of organisation.
When we purchased Smart Box Systems we wee shown how to assemble the complete box system, which was not difficult, and when it was time to start archiving and entering data, Toby came to the college and along with his easy manner, patience and knowledge of the system showed us how to operate the software. The software is very user friendly, although on the occasions when we have required help, Toby has always been available to us for any queries.
The system itself is so user friendly. Inputting and retrieving data from the software is so simple. Finding an archived document is as simple as entering data in a selection criteria search field which will search for your required document. Once it finds the document it directs you to the box it has been archived into. Smart Box Systems had made archiving so simple and archives are now less threatening.
We have no hesitation in recommending Smart Box Systems to anyone.

We wish to express our sincere thanks for the professional service your company extended to Karingal Park Secondary College.
Some time ago the decision was made to finally address the College’s archiving problems. This situation had developed due to a number of factors; an amalgamation of schools over the years, space restrictions, limited staff resources, lack of a self maintainable system, and the need to budget for not insignificant capital expenditure given traditional solutions.
Expressions of interest were sought, with the Smartbox proposal being the standout in terms of capacity, ease of self maintenance, and that no costly capital expenditure was required. Cost alone of more conventional rigid storage systems was four times that of the Smartbox proposal and required considerable structural work. Indeed we had allowed for extension of the existing area to double the space available. With the Smartbox System this was not necessary and capacity still exists to allow for the foreseeable future.
The Smartbox staff were presented with a considerable challenge following some years of neglect. The archive room was cleared, files sorted, boxed and indexed onto computer, then loaded into the installed system in a very professional and timely manner.
The nett result is that we now have a user-friendly, compact archive system with universal accessibility that far exceeded our expectations. I would highly commend this system to all educational institutions.
